THE COMPANY: Peak Scientific Instruments are a multi award winning company, who specialise in the manufacturing of laboratory gas generators for the life science and biomedical market, with our head office based in our modern facility near Glasgow International airport in Scotland. We have been developing award-winning gas generation products since 1997 and now employ 450 people globally in 20 international offices, with a turnover of £55M. Over the last five years the company has enjoyed impressive annual growth between 25 and 30%, overall and 60% growth across the service division, selling 90% of our gas generator products overseas to over 126 countries.
 
Due to continuing success and growth, we are looking for a commercially aware Admin In-Charge to support our India HQ in New Delhi as well as our satellite offices in Mumbai and Hyderabad.
 
THE ROLE: Reporting directly to the General Manager- India, as Admin In-Charge you will be based in New Delhi and be responsible for:
  • Purchase/Vendor Management - purchase, monitor and re-order office supplies including stationary, pantry, housekeeping items etc. Maintain relationships with existing vendors and seek out new providers, when required. Carry out timely negotiations to ensure we get the best prices from different vendors. Ensure office operations and projects are being handled within budget.
  • Security and Housekeeping - manage the security and housekeeping operations in all offices and ensure professional working environment.
  • Travel and Events - manage all travel arrangements including hotels, flights, trains, buses and cabs for employees, based on their entitlement. Arrange business meetings and conferences when required. Work with the sales team to ensure smooth handling of exhibits.
  • Asset Management & Insurances - ensure all agreed assets of the company are covered under insurance. Manage any new fixed asset requirements for the business and its development.
  • Reporting - produce professional quality reports, presentations and briefs. Develop and maintain an efficient documentation and filing system for both paper and electronic records.
 
THE CANDIDATE: You will be degree-educated with previous experience within an Executive Administrator role (or similar) and possess full knowledge and understanding of office management systems and procedures. You will be proficient in English as well as local language and you will have the following:
  • Basic bookkeeping and mathematical skills
  • Exemplary planning and time management skills
  • Ability to stay calm and on-task in high-stress situations
  • Ability to multitask and prioritize daily workload
  • High level verbal and written communications skills
