Administration Assistant - Temporary - France

This role can be full time (35 hours per week) or part time (4/5) if this is a preference of the candidate

We have an exciting new opportunity for an Administration Assistant to join our team in France on a temporary basis. This is an excellent opportunity for someone to join a fast-paced manufacturing company that has experienced significant growth in recent years. The role is perfect for someone who is eager to learn and to develop their skills in a company which is a pioneer in its industry.

THE ROLE: As the Administration Assistant, you will be responsible for:

SALES ADMINISTRATION

  • Keeping track of orders

  • Verifying, sending and collecting customer invoices                                                            

  • Customer Payment Tracking                                       

PROCUREMENT                                               

  • Preparing internal orders

  • Following up requests for quotations issued to third party suppliers                                   

  • Preparing purchase orders for third party suppliers                                   

  • Receiving, recording and archiving supplier invoices

OFFICE MANAGEMENT                          

  • Receiving, qualifying and dispatching inbound calls

  • Checking and filing Expenses reports         

  • Preparing monthly leave/absence information for payroll      

LOGISTICS & CUSTOMER SERVICE

  • Stock count and updates of inventory

  • Assisting in the scheduling of activities for field technicians

  • Communicating diligently with customers by phone and email in preparation, during and after service visits

  • Controlling and dispatching visit reports of from field technicians

THE CANDIDATE:

Your key attributes will include:

  • Excellent communication skills

  • Competent in the use of Microsoft applications

  • Willingness and enthusiasm to learn

  • Can do attitude

  • Experience in financial administration and accounting systems

  • Excellent organisational and time management skills

  • Customer and team focus - ability to build relationships and gain trust
