Job Overview

The Facilities and SHEQ Coordinator will be responsible for managing and maintaining a safe, healthy, and high-quality work environment at our Westford, MA, facility. This individual will oversee the daily operations of the building and grounds, ensure compliance with all safety, health, environmental, and quality regulations, and coordinate all maintenance and repair activities. The ideal candidate is a hands-on problem-solver with strong organizational and communication skills.

Responsibilities

Facilities Management:

  • Coordinate oversee, and liaise as required, all facility maintenance, including building systems (HVAC, plumbing, electrical), equipment, and general upkeep.
  • Manage relationships with external contractors and service providers, including janitorial services, , security, and maintenance specialists. Conduct market research for new vendors and evaluate performance.
  • Coordinate waste disposal, metal and cardboard recycling ect.
  • Conduct routine inspections of the premises to identify and address maintenance needs, safety hazards, and areas for improvement.
  • Assist in planning and overseeing minor renovation projects, office reconfigurations, and equipment installations.
  • Help track facility-related expenses and assist in the annual facilities budget planning process.
  • Monitor and maintain inventory of office, cleaning, and maintenance supplies as required and assigned.
  • Monitor weather conditions and ensure employee safety, including clearing entrances and egress paths properly during inclement weather.

Safety, Health, Environment, and Quality (SHEQ):

  • Implement and enforce company SHEQ policies and procedures, ensuring full compliance with federal, state, and local regulations, including OSHA and EPA standards.
  • Conduct and document regular risk assessments, identify potential hazards, and implement corrective actions to prevent accidents and injuries.
  • Serve as the primary point of contact for all workplace incidents, accidents, and near-misses.
  • Investigate incidents, conduct root cause analysis, and file necessary reports.
  • Develop and deliver mandatory SHEQ training and orientation for all new and existing employees and contractors.
  • Implement and monitor environmental programs, including waste management and recycling initiatives, to minimize the facility’s environmental footprint.
  • Work with stakeholders locally and abroad to track and improve quality of products and services delivered in region.
  • Maintain meticulous records of all safety training, incidents, inspections, and compliance activities. Prepare and distribute regular performance reports for management.
  • Lead and or participate in all annual regulatory reporting requirements as they pertain to Company SHEQ.

Qualifications

  • A Bachelor's degree in a relevant field (Facilities Management, Environmental Health and Safety, or Business Administration) is preferred; a high school diploma or GED with extensive relevant experience will also be considered.
  • 1–3 years of experience in a facilities coordination, maintenance, or SHEQ-related role.
  • Familiarity with OSHA and other relevant environmental and safety regulations is essential.
  • Working knowledge of basic building systems (e.g., HVAC, electrical, plumbing) and preventative maintenance procedures.
  • Strong verbal and written communication skills for training employees, managing vendors, and preparing reports.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with a SharePoint and Power Bi.
