Office Manager - Sao Paulo

Due to continued expansion, we are recruiting for a talented, person-focused Office Manager to join our vibrant team in Brazil. Reporting to the General Manager – LATAM, this varied role will be based in São Paulo. With robust office management experience and experience of working with financial systems, you will have been successful in driving process improvements in your current organization, with the ability to develop strong relationships with local teams and HQ. You will provide support to local managers and teams across sales and service and be driven to develop process improvements to maximize profitability across all departments.

Your key duties will include:

  • Overseeing the intercompany purchase orders to ensure accurate accounting records, ensuring all functions are completed in a timely manner. 
  • Coordinating deliveries and installations with local teams and HQ.
  • Controlling generators sales processes and support managers in sales reporting.
  • Coordinating logistics in the import/export processes, coordinating deliveries and installations.
  • Managing expenses and authorising where required.
  • Working with distributors, end users and internal teams regarding open invoices, working collaboratively with the AR function in HQ.
  • Coordinating and supporting the sales team regarding tenders, documentation and bids.
  • Applying for and controlling renewal dates for business licences and various taxes.
  • Partner with the HQ HR and local accountancy department to maintain and update office policies as necessary.
  • Supervising and supporting Finance and Administration staff.
  • Control sales orders and dispatches, being the internal interface for all teams regarding sales.

With the ability to work well to deadlines, you will bring fantastic interpersonal skills and the ability to work autonomously. Flexibility, strong management skills and a pro-active approach to tasks and issues, are key to success in this role. You will also possess:

  • Excellent MS Office skills, with strong Excel skills.
  • Experience of working with financial systems and a robust understanding of financial accounting principles.
  • Strong planning and organizational skills.
