PA to Chief Operating Officer - Glasgow

POSITION

Based at HQ, Inchinnan and reporting to the Chief Operating Officer (COO) you will be responsible for providing administrative support whilst ensuring office/diary operations run smoothly. Working with discretion and confidentiality will be essential for the successful candidate. As PA you will often act as the COO’s first point of contact with people from both outside and inside the organisation.

Your tasks will be wide ranging, but likely to include:

  • Diary management using MS Outlook

  • Organising regular meetings ensuring meeting packs are prepared for the COO

  • Organising frequent overseas travel and preparing complex itineraries

  • Managing highly confidential information

  • Liaising with overseas offices on behalf of the COO

  • Taking action points and writing minutes, preparing papers for meetings

  • Maintaining office processes and systems, including data management and filing

In addition to supporting COO you may also be asked to:

  • Carrying out specific projects and research

  • Managing accounts and budgets

  • Taking on some of the COO responsibilities and working more closely with global management

THE CANDIDATE

Previous board level/senior management PA experience is essential and an HND/degree in Business would be desirable. You must also be dynamic, enthusiastic, highly motivated and have the ability to work independently whilst having the confidence to think on your feet and be comfortable working under pressure. A positive attitude is a pre-requisite together with a keen sense of humour. Individuals who fit our culture and values will have a high degree of professionalism but appreciate our non- corporate feel in a fun atmosphere.
