Service Administrator

Location – Inchinnan, Renfrew

The Role

We are looking for an organised and customer-focused Service Administrator to support the smooth running of our service operation across the UK and wider EMENA region.

This is a pivotal and varied role where you will act as an important link between our customers and internal teams, including Service Delivery, Sales, Order Processing, parts and that service visits are arranged within the expected timeframes.

You will be responsible for coordinating customer maintenance visits and planning the workload of our Field Service Engineers, primarily across the UK, while also supporting activity in other EMENA countries.

Key Responsibilities

  • Process maintenance kit orders for shipment to customer sites.
  • Contact customers to arrange maintenance visits promptly and professionally.
  • Maintain the department scheduler to ensure it accurately reflects planned field maintenance activity.
  • Plan, organise and prioritise Field Service Engineer workloads.
  • Ensure work is scheduled effectively to meet required response times.
  • Respond to customer enquiries by telephone and email in a prompt, helpful and efficient manner.
  • Raise purchase orders for stock and invoices for service jobs when required.
  • Complete general administrative duties and support sales order processing.
  • Communicate effectively with customers and colleagues across multiple departments and locations.
  • Manage several tasks and priorities simultaneously while maintaining accuracy and a high standard of customer service.

About You

To succeed in this role, you will be highly organised, comfortable managing changing priorities and able to communicate confidently with both customers and colleagues. You will take a proactive approach to your work and remain calm and professional when working under pressure.

Skills and Experience

  • Good working knowledge of Microsoft packages, including Outlook, Word and Excel.
  • Previous experience in a customer service or customer-facing administrative role.
  • Strong multitasking skills, with the ability to manage competing priorities accurately and efficiently.
  • Experience supporting customers across continental Europe or other international locations is desirable
  • Experience working in a busy, fast-paced environment.
  • Excellent organisational and planning skills.
  • Previous scheduling or workload-planning experience.
  • Exceptional written and verbal communication skills.
  • Strong interpersonal skills and a professional approach to customer interactions.
  • A conscientious approach with excellent attention to detail.
  • The ability to work collaboratively across different teams and departments.
  • Strong attention to detail
  • Experience supporting customers across continental Europe or other international locations is desirable
  • Additional European language skills are not essential, but beneficial
