Service Administrator - Massachusetts

Peak Scientific Instruments, an award winning Scottish Company, specializing in the manufacture of laboratory gas generators for the life science and biomedical market are seeking to recruit a Service Administrator to join our vibrant team in Billerica.

As a Service Administrator, you will be critical to the smooth running of the Service operation and will have fantastic organizational skills, with great communication skills and the drive to exceed our customer’s expectations at every opportunity.

Reporting to the North America Field Service Manager, your key duties will include:

  • Creating, quoting, processing and invoicing all service products in SAP
  • Coordinating and dispatching engineers for onsite visits
  • Following-up on pending spare part quotations and update opportunities
  • Collaborating and liaising with global offices and team, including: Planning, Sales, Finance and Logistics
  • Coordinating installations with customers and sending out site requirement documents
  • Coordination and organization of field service engineer visits
  • Managing customer service enquiries by telephone, fax and e-mail in a prompt and efficient manner
  • Supporting engineers with parts and scheduling
  • Maintaining customer records accurately within the system.
  • Working closely with service sales team to finalize contracts and billing. 

With a good standard of education, and excellent written communication skills, you will have a proven track record in a similar role. Intermediate knowledge of Microsoft packages (Excel, PowerPoint & Outlook) is essential and experience of SAP or a similar order processing system would be beneficial. You will also possess the following:  

  • An enthusiastic, proactive approach with a professional nature; you will have the ability to learn quickly and work timeously with a willingness to take responsibility and ownership of multiple tasks
  • Excellent interpersonal communication skills with the ability to work in a team and to build strong professional relationships at all levels
  • A strong understanding of geographical locations, times and distances
  • Great self-motivation, with exceptional time management skills along with the ability to properly prioritize tasks.

Our current turnover is $50m, with plans to grow significantly over the next few years. We export 90% of our sales to approximately 126 countries and have opened a number of overseas offices including an expanding operation in the Americas which is headquartered in Billerica, Massachusetts.
