Service Sales Administrator - Massachusetts

Peak Scientific Instruments, an award winning Scottish Company, specializing in the manufacture of laboratory gas generators for the life science and biomedical market are seeking to recruit a Service Sales Administrator to join our vibrant team in Billerica.

Working within a close-knit Service Sales team, you will be critical to the smooth running of the Service operation and will have fantastic organizational skills, with great communication skills and the drive to exceed our customer’s expectations at every opportunity.

Reporting to the Service Sales Supervisor, your key duties will include:

  • Quote, process, create and invoice all spare parts in the North America.
  • Process, create and invoice maintenance contracts on the system.
  • Manage service contract intake ensuring consistency between the systems.
  • Work closely with the Service Sales Supervisor on service reporting ensuring regional team information is accurate and timely.  
  • Maintain Spare Parts Sales Tracker and the Global Contract Tracker.
  • Collaborate and liaise with global offices as well as other departments such as Planning, Sales, Finance and Logistics to gain and share necessary information.
  • Ownerships of spares and contracts, ensuring orders are invoiced in a timely fashion and flagging any potential issues
  • Updating CRM/ERP system with all relevant customer information and orders

With a good standard of education, and excellent written communication skills, you will have a proven track record in a similar role. Intermediate knowledge of Microsoft packages (Excel, PowerPoint & Outlook) is essential and experience of SAP or a similar order processing system would be beneficial. You will also possess the following:  

  • An enthusiastic, proactive approach with a professional nature; you will have the ability to learn quickly and work timeously with a willingness to take responsibility and ownership of multiple tasks
  • Excellent interpersonal communication skills with the ability to work in a team and to build strong professional relationships at all levels
  • A strong understanding of geographical locations, times and distances
  • Great self-motivation, with exceptional time management skills along with the ability to properly prioritize tasks.
